Restrictions on the use of archived content

 

Archived content differs from standard library content and is subject to the following usage restrictions.

  •  Cannot restore to standard library contents.
  •  Cannot register content in the sub-content areas.
  •  Cannnot move/copy to a different menu (moving within the same menu is allowed).
  •  When the archive download capacity is exceeded, an alert will appear and downloading and transferring will be disabled.
  •  Cannot register archives that exceed the archive usage capacity.

Viewing and Performing Actions on Mobile

 

You can view and perform certain actions on Shelf via smartphone, such as an iPhone. Downloading an application is not required; this can be performed through the device’s web browser.

 

Supported Systems

Mobile site requirements follow the PC version of Shelf.
For more information, please see Recommended Browser/OS.

 

Supported Actions

・Viewing
You can view registered content.
Tap the Library tab and select a menu/folder to view content.

・Sending
You can send registered content to third parties.
Select the checkbox of the content you want to send, tap the Send icon, then enter the required information to send.
For more information, please see Sending.

・Favorites
You can register content to Favorites.
Select the checkbox of the content you want to register to Favorites, tap the Favorites icon, then select the folder to which to register.
For more information, please see Favorites Menu.

 

* Ability to view menus/folder and send content will depend on user permissions.
* Folders for favorited content must be created on the PC version of Shelf. New folders cannot be created on the mobile version.

Setting Relations

 

When a relation is set between content, you can jump between these content items from their information pages.

 

Setting Relations

  1. By clicking the relation icon icon either below the thumbnail image on the menu page, or to the side of the thumbnail image on the content’s information page, a relation window will appear in the lower part of the screen.
  1. Search for the content you want to set a relation to, and click the arrow icon icon under the thumbnail to make that record’s thumbnail appear in the relation window. Multiple thumbnails can also be dragged and dropped into the relation window.
  1. Once the appropriate selections have been made, click Create Relation to complete the process.
    If you set relations to records “B” and “C” from record “A”, the relations will be visible from the information page as follows:
    B and C will appear on A’s information page.
    Only A will appear on B’s information page.
    Only A will appear on C’s information page.

 

* Content which is registered to a menu or folder which has been set as hidden by a Site Manager will not be shown in the relation area. To show this, viewing restrictions must be unlocked. For more information, please see  Restrict Menu Access, Restrict Folder Access.

* If a Site Manager has enabled the ≪Display Relations By Menu≫ option, an information page with details on the relations will be shown for each menu containing related images.

* Users without the relevant permissions cannot perform this action. For more information please contact your site administrator.

Searching

Searching

Searching for content can be performed in the three following ways.

 

1. Searching menus

Click the Library tab, and then click the menus or the the folders nested under them to display a list of content contained within that menu/folder.

* Expanding and collapsing menus/folders
Click a menu or folder’s “>” mark to show the content of nested folders.

 

 

2. Using the Search Function

Click the magnifying glass icon roupe icon to make a search window appear, in which an advanced search can be performed, with conditions set for each menu.
Specific search conditions can be set for menu, folder, content ID, title, file name, date, or other details.

* Search string specifications are as follows. Each search item works on the following logic:

  • Content ID: Exact-match search + OR search for text in search field separated by spaces.
  • File Name: Partial-match search + OR search for text in search field separated by spaces.
  • Title: Partial-match search + AND search for text in search field separated by spaces.
  • Date**: Searches within the specified dates. Leave this empty to keep the date unspecified.
  • Text string (alphanumeric, single-byte characters):Partial-match search + AND search for text in search field separated by spaces.
  • Text string (single line): Partial-match search + AND search for text in search field separated by spaces.
  • Text string (with line breaks): Partial-match search + AND search for text in search field separated by spaces.

 

* The above three text string search conditions do not differentiate upper and lower case letters.
* An AND search will be performed for each field. Also, an AND search will be performed for each search item.
* Search items can be changed for each menu from the Administrator Menu.

 

**About the search logic for “Date”.

To search by date, the search logic differs between the “Usage Period” and “Access Period” originally set in the shelf and the user’s optional period search.

1. shelf specific “Usage Period” and “Access Period” search logic

  • Search for content that includes all periods between the start and end dates specified in the search.
  • If the start date is not specified, search for content that includes the entire period before the specified end date.
  • If the end date is not specified, search for content that includes the entire period after the specified start date.
  • Content without start and end dates is also searchable.
  • If both the search start and end date are not specified, the advanced search can not be performed by that period.

2. User-created period search logic

  • If the content period overlaps by even one day during the specified search period, search all of the content.
  • Content without start and end dates is also searchable.
  • If both the search start and end date are not specified, the advanced search can not be performed by that period.

 

 

 

 

3. Searching tags

Click a tag name in the menu area to search for content with that tag within that menu.
You can view the tags attached to an item of content on that item’s information page.

Do the following to perform an AND search for multiple tags:

Windows: Click the tags you want to search for while holding down the Ctrl key.
Mac: Click the tags you want to search for while holding down the Shift key.

Registering and confirming content from request mail

[Registration Page URL] will be sent to the client.

① Click on URL to switch to the contents registration screen. Drag and drop contents to register.
* It is also possible to register by specifying from a file.

② [Company name], [Subscriber name], [Message] The entered content is displayed as it is in the content to be mailed to the requester.
Confirm registration of contents
[Registration completion URL] will be sent to the requester.

When you click the URL, it will transition to the login screen of the site that requested content registration.
※ The content that was registered is registered in the state of [temporary registration].

Content registration request

A content registration request is a function that enables you to receive content from a third party other than the shelf user.

Select the content to be operated by [Drag & drop operation] or [Operation with check box], enter the necessary information after entering the content registration request screen and execute it.

* The upper limit of content that can be received at a time depends on the upper limit of the site you use.

[Procedure of Registration Request for Content]

① We will select Japanese / English languages. Upload URL will be sent to the client in the selected language.

② Enter the mail address of the transfer destination and enter the information in the required item.
[Request mail address] Enter the mail address of the recipient. To send to more than one, enter multiple email addresses separated by a space or a comma.
[Request Confirmation E-Mail] Check this when sending it to yourself.
[Subject] [Message] The entered sentence is displayed as it is in the mail forwarded to the requester.

[Data format] In addition to the master data, select necessary data from the meta information list, automatically generated JPEG size set for each site.
[Menu] The menu for content registration is displayed.
[Folder] Specify the folder to save the content.

③ If you click the [Confirmation], [Execute] button, the URL of the content registration page will be sent to the requesting party and the request number will be displayed. You can retrieve the contents of the request from the content registration request history screen based on No.

Move the selected content to another menu or category. When moving / copying,Moving or Coping will apply the access restriction settings of the destination. Meta information of the destination will also remain unchanged/be deleted as follows.
[Unchanged Meta Info] File name / Title / Access Period / Usable Period / File size / Thumbnail
[Deleted Meta Info] Meta information other than those listed above for both current and old versions (including sub-contents / relation / tag settings).

Notes on Using Shelf Viewer

Regarding generation of thumbnail images for iPad
Before the application is used, thumbnail images for use on the iPad will be generated for all items on your Shelf site.
Once the thumbmails have been generated, you may begin using the application; however the time taken to generate the thumbnails will depend on the number of items on the applicable site. A representative will contact you regarding the timing of when actual operation can begin.

Menu/Category Functions

You can set up Menus to clearly categorize and organize content as you see fit. Up to three levels of categories can be set under each menu, allowing for up to four levels including the menu itself.

Access restrictions can be set for each menu/category, to control which users can view those contents.

Menus can be created by Site Managers, and categories by Site Managers or any users with the required permissions.

Click a menu name to list all records in that menu as well as in categories under that menu.

Categories are stored under menus, and up to three levels of categories can be set (for a total of four levels including the menu itself).
Access restrictions can be set for each category, to control which users can view them.
Menus can only be created by Site Managers; however categories can be created by Site Managers and any users with the required permissions.
You can click a category name in the menu area to show a menu page of all the records in that category and any sub-categories.

On the editing page, enter the meta information to be attached to the content.

1. Select any one of the following methods to edit the meta information.

  • Drag and drop the content’s thumbnail onto the pencil icon on the content menu page.
  • Select the thumbnail in the content menu page and click the pencil icon.
  • Click the Edit icon while on the content information page.
  • Perform bulk revisions with the Upload List function at the bottom of the menu screen.**

2. If multiple content items are selected, you will be prompted to select the method you want to use to edit them.

Edit Sequentially : Sets the meta information for each content item one at a time.
Bulk Edit : Applies the same meta information to all selected content.

* The content of each meta item may differ between menus.

Automatic Thumbnail Generation Formats

Shelf will automatically generate thumbnail images for previews when the below file types are uploaded.
* If any other file types are uploaded, the thumbnail will simply state “No image”.
* Depending on the file type and the version of the software used to create it, etc., there may be situations where the thumbnail is not generated correctly.
