Library Menus and Folders

You can set up Library menus/foders to clearly categorize and further organize content as you see fit.
Up to three levels of folders can be set under each menu, allowing for up to four levels including the menu.

Access restrictions can be set for each menu/folder, to control which users can view those contents.
Menus can be created by Site Managers, and folders by Site Managers or any users with the required permissions.

Click a menu name to show all content in that menu as well as in folders under that menu.

Creating Menus/Folders

Menus can be created, edited, or deleted by Site Managers from the Administrator Menu under User Menu  in the upper right of the screen.
*Administrator menu is available in Japanese and English only. If you select another language site, please log in again to the Japanese or English site.

Creating Menus

1. Click Manage Menus inside the Administrator Menu.

2. Click the Create Menu button below the menu area on the left side of the screen, enter the desired name in the menu creation window which appears and click OK.

* Menus cannot be created if a menu with that name already exists.
* The maximum number of menus is 20.
* Menu names can have a maximum of 100 characters.

Creating Folders
There are two methods to create folders, as follows:

■From the Menu Page

1. With the menu area expanded, click the options icon <gear icon > on the right side to enter edit mode.

2. Click displayed next to the menu/folder name, then click Add.

3. In the registration window which appears, enter the name and click OK to add the folder within the selected menu or folder.

■From the Administrator Menu

1. Click Administrator  Menu from User Menu   in the upper right of the screen.

2. Click Manage Menus.

3. Click the gear icon in the menu area to enter edit mode.

4. Click displayed next to the menu/folder name, then click Add.

5. In the registration window which appears, enter the name and click OK to add the folder within the selected menu or folder.

* Multiple folders with the same name cannot be created on the same level.
* The maximum number of folders is 500, across all levels.
* Folder names can have a maximum of 100 characters.

Bulk Registration of Menus/Folders
Menus/folders can be registered, edited, or deleted in bulk by importing text files. For more information, please see Importing/Exporting Lists.

Editing Menus/Folders

There are two methods for editing menus/folders, as follows:

■From the Menu Page

1. With the menu area expanded, click the options icon <gear icon > on the right side to enter edit mode.
2. Click displayed next to the menu/folder name, then click Edit. A window to change the menu/folder name will appear.
3. Enter the new name, then click OK.

■From the Administrator Menu

1. Click Administrator  Menu from User Menu   in the upper right of the screen.
2. Click Manage Menus.
3. Click the gear icon in the menu area to enter edit mode.
4. Click the displayed next to the menu/folder name, then click Edit. A window to change the menu/folder name will appear.
5. Enter the new name and click OK.

*Administrator menu is available in Japanese and English only. If you select another language site, please log in again to the Japanese or English site.

*In case of using the automatic translation function
A [Translation] button will appear next to the Japanese/English field. The translated text based on the language in which this button is clicked will also appear in the other language fields. You can also modify each of them.

* Multiple menus cannot be registered with the same name.
* Multiple folders with the same name cannot be created on the same level.
* Menu/folder names can have a maximum of 100 characters.
* Users without the relevant permissions cannot perform this action. For more information please contact your site administrator.

Deleting Menus/Folders

There are two methods to delete menus/folders, as follows:

■From the Menu Page

1. With the menu area expanded, click the options icon <gear icon > on the right side to enter edit mode.
2. Click displayed next to the menu/folder name, then click Delete. A confirmation message will appear.
3. Click Delete.

■From the Administrator Menu

1. Click Administrator  Menu from User Menu  in the upper right of the screen.
2. Click Manage Menus.
3. Click the gear icon in the menu area to enter edit mode.
4. Click displayed next to the menu/folder name, then click Delete. A confirmation message will appear.
5. Click Delete.

*Administrator menu is available in Japanese and English only. If you select another language site, please log in again to the Japanese or English site.

* Menus cannot be deleted if content is still registered to that menu or one of the folders nested within. If no content is registered, the selected menu will be deleted along with any folders nested within.
* Users without the relevant permissions cannot perform this action. For more information please contact your site administrator.

Sorting Menus/Folders 

Using either of the below two methods, menus can be dragged to sort tem into any desired order.

■From the Administrator Menu

1. Click Administrator  Menu from User Menu    in the upper right of the screen.
2. Click Manage Menus.
3. Click the gear icon  in the menu area to enter edit mode.
4. Drag the menus/folders into the desired order.

*Administrator menu is available in Japanese and English only. If you select another language site, please log in again to the Japanese or English site.

■From the Menu Page

1. With the menu area expanded, click the options icon gear icon  on the right side to enter edit mode.
2. Drag the menus/folders into the desired order.

* Lower-level folders fall under access permissions for higher-level menus/folders, so care is required when sorting folders.
Ex． If a folder is moved from a menu or folder which is only accessible to a specific group to a menu or folder which is accessible by all users, the folder will become accessible to all users as well. Conversely, if a folder is moved to a menu or folder accessible to a different group, only the groups permitted to view the destination menu or folder will be able to view it.
